ChatWork vs HipChat: A Detailed Comparison

Figuring out the right communication and collaboration tool for your team is extremely important, especially if your organization is in different locations and, perhaps, across the world. We’d like to expedite your evaluation of what’s out there, so we researched various platforms’ key differentiators. We’ll roll out this series of comparison blog posts over the next few weeks.

Today, we begin with the first comparison in the series -- ChatWork versus HipChat.

8 Feature Comparisons Between ChatWork and HipChat

1. Collaborating with External Team Members

Team members in a group chat are usually employees with the same email domain as the account’s administrator. However, teams often need to work with external non-employees -- freelancers, customers or partners on projects or activities and access needs be granted for them to join a group chat or room.

In ChatWork, you can send a group chat invitation link to an external personand they will be added to the room after a simple registration process. You can set their access to “admin,” “member” or “read only.” Once external members are in the chat room, they can see the entire chat history. Since they’ve completed the registration process and now have their own account, they will be able to set up one-to-one chat rooms and other chat groups on their ChatWork interface.

This is what an invitation looks like in ChatWork. In the screenshot on the right, the gold-colored triangle by the “OneFour Marketing Team” chat room indicates that non-employees are included in the group.

In HipChat, external members may join group chats/rooms as a "temporary guest" without needing to create an account. However, this “guest” designation carries several limitations such as no access to chat history, no one-to-one chats and a required sign-in every time they enter the group chat.

2. Managing Tasks

Managing tasks is a time-consuming part of every person’s day. For this function, if you’re looking to streamline your workflow, create tasks quickly and know who’s handling what, the difference between the two platforms is noteworthy. 

In ChatWork, you can make any chat message actionable. With one click, you can change a chat message into an actionable task.

In HipChat, you’ll need to integrate with a separate task management tool. 

3. Indicating Online/Offline Status

Knowing when a team member comes and goes in a chat environment may seem like a handy feature. But when you think about it, it’s actually a bigger deal than knowing a person’s availability. For teams who value quality of output over time of day clocked in, this feature or lack of one, can set the tone of team culture and trust.

In ChatWork, there are no indicators to let others know whether you are online or offline. No judgments and less stress.

In HipChat, anyone at any time can see if you’re online or offline. You can also set your status as “available,” “away” or “do not disturb.”

4. Editing and Deleting Messages

This is another feature that, at first glance, might not seem high on a wish list. But when you’re in the situation of wanting to edit a message you've already sent, you’ll realize just how invaluable this feature is.

ChatWork allows you to delete messages previously sent and edit sent messages. If you edit a sent message, team members will see a pencil and a timestamp when your last edit was made. Account administrators cannot disable the ability to delete or edit sent messages.

In HipChat, if the setting is enabled by your account administrator, you can delete chat messages you previously sent. However, you cannot edit messages.

5. Incorporating Emojis

ChatWork has a library of animated emojis for you to choose from. This is the universal set of characters that work in any global language.

This is HipChat’s basic set of emoticons.

6. Meeting via Voice or Video Chat

No more panicked last second downloads three minutes into the meeting. Having a voice and video conference feature built right in your chat platform saves time, hassle and stress. 

ChatWork empowers face-to-face meetings or audio calls with voice and video conferencing for both free and paid accounts. Group meetings with any or all of your internal and external team members can be initiated with just one click.

HipChat provides this feature, but only if you have a paid account. Another key difference is HipChat supports only one-to-one voice or video chat -- not group meetings with multiple people.

7. Supporting Multiple Languages

ChatWork was built for global teamwork in mind. Our UI is available in multiple languages, so if you have regional teams, global customers or international partners and vendors, you might consider their native language interface preference when choosing a chat app that’s right for your global business.

HipChat’s UI is currently only available in English.

8. Integrating with Other Tools

It is very easy to integrate your essential apps with ChatWork through our partnership with Zapier to automate those tedious, time consuming tasks. 

One example is ChatWork + Twitter. When an integration is set up in any group chat, you’ll see tweets automatically flow into your chat stream. This makes the tweet accessible and actionable for the team.

While you have the option to integrate many tools with ChatWork, it is an all-in-one platform where you can send chat messages, hop on a group video chat, manage tasks and share files. You may not need to integrate with apps like Trello, Asana or Google Hangouts since these functions are built directly into ChatWork to help streamline your workflow.

In contrast, HipChat is known for its third-party integrations which enables users to connect their platform to over 100 other tools and receive activity notifications. If you are a software engineer or developer or just use a lot of software tools in your daily work, HipChat might be a good option for you. 

Here’s an example integration with Trello. As Trello board changes appear, you’ll receive automatic notifications.
